Privacy Policy
I'm Melvin Romero, a sole proprietor operating Ratio Studio from Fort Worth, Texas. This policy explains what information I collect through ratiostudio.co and during Ratio Studio engagements, how I use it, and the choices you have.
Information I collect
Eligibility reviews and contact requests
When you submit an Eligibility Review, diagnostic request, or contact form, I may collect information such as:
- your name
- email address
- creator or business name
- primary platform
- channel, podcast, website, or brand URL
- publishing history
- the problem or change you are trying to understand
- why you think the issue may involve your brand
- relevant business context or stakes
- any optional information you choose to provide
The purpose of the Eligibility Review is to determine whether there is enough relevant evidence for Ratio Studio to conduct a responsible diagnostic. It is not itself a formal diagnosis.
Ratio Diagnostic and client engagements
If you purchase a Ratio Diagnostic or another Ratio Studio engagement, I may collect additional information reasonably necessary to perform the work, including:
- project materials
- brand assets
- content examples
- business and positioning context
- audience or customer information you choose to provide
- research inputs
- feedback and approvals
- information relevant to the diagnosed constraint
Please do not send passwords, full payment-card information, government identification numbers, medical records, or other highly sensitive information unless I specifically request it through an appropriate secure method.
Brand Baseline tools
Where Ratio Studio provides an interactive Brand Baseline calculator or similar browser-based tool, inputs processed entirely in your browser are not stored or transmitted to Ratio Studio unless the tool clearly states otherwise.
Public-data analysis
Ratio Studio may analyze publicly available information from platforms such as YouTube, podcast platforms, websites, social platforms, and other public sources.
This may include publicly visible information such as:
- publishing history
- views
- likes
- comments
- subscriber or follower counts
- recurring formats
- visual and verbal patterns
- publicly visible brand assets
- category and competitor information
I do not collect private platform credentials or private analytics unless you voluntarily provide access under an applicable engagement agreement.
Public information may also be used in independent studies. When an analysis is independent and has not been commissioned or endorsed by the subject, Ratio Studio identifies it accordingly.
Billing information
If you engage Ratio Studio for a paid service, billing and payment information may be processed through Stripe.
I do not store your complete payment-card details myself. Stripe processes and secures that information under its own privacy and security practices.
How I use your information
I use information collected through Ratio Studio to:
- review whether you qualify for a Ratio Diagnostic
- respond to inquiries
- schedule and administer engagements
- conduct diagnostic analysis
- prepare strategy, recommendations, reports, and deliverables
- communicate about projects
- prepare proposals, agreements, and invoices
- provide support during an active engagement
- maintain necessary business and legal records
- improve Ratio Studio's services, methodology, website, and internal processes
- protect the website and business from misuse, fraud, or security threats
- comply with legal obligations
I do not sell, rent, or trade your personal information.
Diagnostic information and client confidentiality
Information you provide for a private Ratio Studio engagement is used to perform that engagement and related business administration.
A private client engagement does not automatically give Ratio Studio permission to:
- publish your private materials
- disclose confidential business information
- present the engagement as a public case study
- publish your results
- use your name or brand as a testimonial
- imply your endorsement of Ratio Studio
Any public use of non-public client information will require the permissions established in the applicable agreement or separately provided by you.
Who I share information with
I may use service providers that support specific parts of Ratio Studio's operations.
Resend
Resend may be used to deliver form notifications and email communications. Information submitted through applicable forms may be transmitted through Resend over an encrypted connection.
Stripe
Stripe processes payments for paid Ratio Studio engagements.
I do not use these providers to sell your personal information.
Other technical service providers may process limited information when necessary to host or operate the website. Their own privacy practices apply to the information they process.
Website analytics and technical information
The website may generate ordinary technical information required to operate a website, such as:
- browser type
- device information
- IP or network information
- referring page
- pages requested
- timestamps
- server logs
If Ratio Studio uses analytics or cookies beyond what is technically necessary to operate the website, this policy will be updated to describe those practices.
Analytics or website-interaction data is not treated as evidence establishing an individual client's brand diagnosis.
Your rights
Depending on where you live, privacy law may give you rights concerning your personal information, including the right to request:
- access
- correction
- deletion
- restriction of certain processing
- withdrawal of consent where consent is the basis for processing
You can submit a request by emailing me.
I will respond within a reasonable timeframe, subject to information I may need to retain for legal, contractual, accounting, fraud-prevention, or legitimate business purposes.
Data retention
I keep personal information only for as long as reasonably necessary for the purpose for which it was collected.
In general:
- inquiry and Eligibility Review information is kept only as long as reasonably useful for responding to the request and maintaining business records
- diagnostic and client materials may be retained during the engagement and for a reasonable period afterward for delivery, reference, recordkeeping, dispute resolution, and legal obligations
- invoices and transaction records may be retained for accounting and tax requirements
You may request deletion of information that I am not legally or contractually required to retain.
Security
I use reasonable administrative and technical measures intended to protect information handled by Ratio Studio.
No website, email system, cloud platform, or data-storage system can be guaranteed to be completely secure.
Third-party websites
Ratio Studio may link to third-party websites, creator platforms, payment services, social platforms, or other external services.
I am not responsible for the privacy practices or content of those third parties.
Children's privacy
Ratio Studio serves creators and businesses and is not designed for children.
The website is not directed at anyone under 16, and I do not knowingly collect personal information from children.
If you believe a child has provided personal information to Ratio Studio, contact me so I can review and address it.
Governing law
Ratio Studio operates from Texas, United States.
To the extent applicable, this policy and Ratio Studio's handling of information are subject to applicable United States and Texas law, as well as privacy rights that may apply based on where you live.
Changes to this policy
I may update this Privacy Policy as Ratio Studio's services, website, tools, service providers, or legal obligations change.
When I make material updates, I will revise the Last updated date at the top of this page.
